Job description

To collate & input data for all tender & bid received for all customer accounts assigned under the API Energy hub. Must collaborate closely with local countries across API & internally with API hub team members to prepare winning tender bid proposals & presentations for Energy projects taking place across API region. The candidate must have excellent communication skills & be comfortable working in a fast-paced environment with tight deadlines, ensuring that proposals submitted meet all tender bid requirements & also provide oversight to the proposal improvement process once the tender proposal has been secured or lost. Collaborating with the procurement & QHSSE reps in each country are also paramount.

1. Review RFQ, ITB or inquiries bids received. Works closely with the API Energy Hub tender & bid manager for the preparation of the bid, working closely with internal colleagues & external vendors.

Create a winning culture within the team & with internal colleagues under the Energy product across API. Understand strategies to ensure our bid proposal is technically sound & priced to ensure we make good money during project execution.

2. Collaborate and coordinate within GAC organization regarding QHSSE, marine & logistics products in each country across API to review vendors & negotiate best possible rates ensuring we remain competitive.

Work with internal colleagues to have vendor management processes in place for each country across API to ensure we are competitive against competitors.

3. Develop knowledge of energy business & understanding the products core services by reading and review previous bid proposals submitted. 

Recorded initiatives and cost savings (or improved terms).

4. Log & track risk throughout the tender process, highlighting areas of concern with the commercial team.

Work with internal or external legal team and local financial team members to determine business risk vs reward during proposal bid phase. Create template which must be used for each bid proposal before submission.

5. Create, publish, and submit tender response documents timely. Ensure all bid proposals & documentation submitted are saved in SharePoint.

Improve the internal SOP for bid submission & data collection and roll out regionally to each country (API). To generate SOP for API countries tendering activities and submission.

6. Conducts reviews & lessons learned on all bid proposals submitted. Must understand competitors bidding trends to ensure we win future bid proposals.

Consistently improve on winning bid ratios yearly. Create KPI to track progress.

7. Perform market analysis and keep track with latest events & exhibitions within Energy sector

Compile necessary & essential data from market intelligence system & events for commercial teams. Create reporting format for reference.

Tertiary Level

Specialist Knowledge

  • Tender management knowledge (pre & post tender)

  • General knowledge (both technical & commercial) and background from oil&gas/energy industry

  • Background handling customers from Energy Sector.

Communication / Language

Fluent in English – oral and writing.

Computer Aptitude

Proficient in MS Office

Detailed Experience Levels

 Minimum 5 years in similar position/ industry, preferably with experience in handling large scale projects for Energy customers.
