Senior Executive – Crewing & Work Permits

Location: Kelana Jaya, Petaling Jaya HQ, Malaysia

Are you a detail-oriented professional with experience in crewing, immigration, visa processing or ship agency operations? Do you enjoy coordinating with multiple stakeholders and ensuring smooth crew movements across international borders? If you're passionate about supporting the maritime industry and delivering excellent customer service, you could be the person we’re looking for to join the GAC team in Malaysia.

The Role
If appointed, you will be responsible for managing crew changes, work permits, visas and immigration-related matters for vessel operators and ship owners. You will work closely with government authorities, embassies, customers and internal teams to ensure timely processing, compliance and seamless service delivery.

Key responsibilities include:

  • Managing and processing visas, work permits and immigration applications for crew members.

  • Coordinating crew changes, crew arrivals, departures, hotel arrangements and transportation requirements.

  • Liaising with immigration authorities, government agencies, embassies and other stakeholders to secure timely approvals.

  • Preparing, reviewing and maintaining accurate documentation and records related to crew movements and permit applications.

  • Monitoring the progress of applications and providing timely updates to customers and internal stakeholders.

  • Resolving permit, visa and documentation issues to minimize operational delays.

  • Supporting customer relationships and acting as a key point of contact for crewing and immigration matters.

  • Preparing invoices, maintaining billing records and ensuring timely job closure and reconciliation.

  • Generating operational and management reports relating to crewing, visas and work permit activities.

  • Supporting commercial initiatives and identifying opportunities to expand customer relationships and services.

Job requirements

What we're looking for:

Qualifications & Experience

  • Diploma or Degree in Business Administration, Maritime Studies, Logistics, Human Resources or related disciplines.

  • At least 3 years’ experience in shipping agency operations, crewing, immigration services, work permit processing or a related industry.

  • Experience handling crew changes, visa applications, work permits and immigration documentation.

  • Hands-on experience managing ESD (Expatriate Services Division) and PVP (Professional Visit Pass) applications and processes.

  • Familiarity with maritime operations and government regulatory requirements will be considered an advantage.

Skills & Attributes
