Job Purpose:

As an Operations Executive, you will be responsible for coordinating and attending to Principals’ Ship Agency operational requirements and Voyage Management, as well as scrutiny and processing of Proforma Disbursement Accounts (PDA) in compliance with client requirements. This role is pivotal in coordinating and overseeing our Principals’ Ship Agency operational requirements and managing voyage operations to ensure smooth and efficient port calls.

 

Key Responsibilities:

  • Voyage Coordination: Receive and manage voyage orders and appointment emails for port calls, ensuring compliance and accurate communication with port agents.

  • Job Registration: Register jobs in the operational system, generate and send Hub Instructions, and archive all relevant correspondence.

  • Proforma Disbursement Account (PDA): Scrutinise and approve PDA entries, ensuring accuracy in costs and adherence to port tariffs.

  • Fund Management: Review and approve fund requests and payments, ensuring timely transactions and compliance with relevant procedures.

  • Operational Monitoring: Track and follow up on daily updates, monitor the submission of Statement of Facts (SOF), and ensure the upload of cargo documents in the system.

  • Document Verification: Verify and assign SOF, ensuring all documents are properly archived and compliant.

  • Miscellaneous Duties: Assist with port tariff collections, support team operations, and handle queries from Principals. Provide weekend and holiday cover as required.

  • HSSE Compliance: Investigate and report HSSE incidents in accordance with company procedures.

 

Job requirements

Required Qualifications:

  • Advanced Level

  • Minimum of 2 years’ experience in shipping operations

  • Proficiency in MS Office, PDF and other relevant software

  • Excellent communication in English (verbal and written),

 

Preferred Skills:

  • Strong attention to detail and problem-solving skills.

  • Ability to work collaboratively in a team environment.

  • Proactive and reliable with advanced planning and organisational skills.

  • Exhibit high dependability and responsibility.
