Job description

Main Work Location: Johor Bahru branches, authority offices and on-site operations.

The primary role involves supervising the operation team and overseeing all operational activities pertaining to Customs Regulatory, Permits & Licenses with aim of delivering exceptional service.  This includes timely, cost-effective, and accurate application processes with various government agencies.  Responsibilities include efficiently coordinating all logistics activities, engaging with the internal team, branches, and customers (both local and overseas) to provide prompt advice and information, as well as skillfully managing and resolving  any issues  or complaints.

Job Description

1. To responsible for overseeing all aspects of all operational matters permit and license include managing the operation team, ensuring the accuracy of customs declarations and adherence to procedures

  • Accountable for the accurate and timely preparation and processing of all customs documentation, permits, and licenses

  • Required to stay up to date with market information regarding new government procedures and regulations and effectively communicating this information to customers and colleagues

  • Efficiently coordinate all operational and documentation requirements, ensuring that operational team perform their duties effectively and economically

  • To ensure that the team does not incur any penalties from the authorities.

  • Required in supporting the team with customs declaration and clearance tasks

  • Attending customer inquiries related to customs matters.

  • Providing advice on customs or authorities’ procedure and HS Codes as needed.

  • Responsible for overseeing and managing all pending, unsettled, or incomplete customs forms across all branches.

  • Proactively build and maintain strong working relationships with relevant authorities, especially Customs, to facilitate smoother clearance processes, stay informed of procedural updates, and enhance collaboration on regulatory matters.

  • Train and mentor staff in customs procedures and regulatory updates

2. Prepare reports and documents for Customs and other authorities

  • Provide backup support or cover staff duties when a team member is on leave.

  • Ensure all relevant customs and authorities’ documents are scanned and sent to HQ or related branches.

  • Prepare required reports, such as declaration data reports, customs duty reports, or letters, as needed by the internal team, authorities, or customer-ensuring accuracy, timely submission, and compliance with all relevant procedures and regulations.

  • Conduct audits and reviews to ensure document and process compliance

  • Assist in developing and maintaining SOPs for customs and trade compliance operations

3. Promptly escalate any/all operational issues to manager and where possible try to proactively resolve operational issues

  • Troubleshooting and resolving issues within 24 hours to ensure prompt resolution.

  • Proactively update and inform the respective team about any queries or disputes from customs or other government agencies through various communication channels such as emails, calls, SMS, or WhatsApp.

4. To grow the Logistics Department

  • Assist in developing new business opportunities to find new client

  • Collaborate with internal departments and external stakeholders to streamline processes

5. Contactable at all times

  • To be available as and when required

6. OTHERS

  • Carry out all additional task and assignment as directed by manager HOD, and the Management team.

Job requirements

• Diploma / Degree in Logistics, Transportation, Supply Chain Management, Maritime

Management or a related field with

• Minimum 3 years experience in similar position.

• Strong knowledge of import/export customs, OGA, and port regulations and procedures.

• Good English & Bahasa Malaysia communication skills (both written & spoken)
• Proficient in computer skills, including Microsoft Office (Word, Excel, PowerPoint),  DagangNet  System, and SMK system.
