Job description

Responsibilities:

  • Coordinate import/exports/local clearance and schedule based on customer needs and priorities.

  • Coordinate day-to-day operations and productivity output.

Productivity Output:

  • Coordinate with clients, vendors, overseas agents, associates, and internal or inter-department to arrange the execution of shipments.

  • Track shipment’s progress, note delays, and inform the consignee.

  • Process customs documents as per Customs regulations.

  • Ensure goods and transport capacities are available, and arrival/departure/delivery executed as scheduled.

Documentation/Administration:

  • Verify shipping documents are compliant with GAC policies.

  • Ensure KYC/Approved Quotes/Job Scope/Financial agreements are in place prior to executing the jobs.

  • Maintain accuracy of data inputs and minimize errors in increased order entry.

Billing/Invoicing:

  • Ensure all jobs are closed and billed within the given timelines.

  • Provide clear, detailed costings and ensure all charges are back charged to clients with proper supporting.

  • Ensure transparency in time-based billing to maintain accountability with clients and stakeholders.

  • Record and file all jobs and related documents appropriately for retrieval, audit, and accountability.

Customer/Supplier Relations:

  • Contribute to a clear communication process across departments and highlight critical parts of the same.

  • Ensure key updates/milestones/costing/add-on services are well informed to the clients and approvals to avoid any disputes with invoices.

  • Report, analyze, and solve claims promptly and effectively.

Risk/Critical Issue Management:

  • Understand critical situations to avoid major service failures.

  • Respond timely to all Customer Claims to ensure fast solutions resulting in customer satisfaction.

Process Compliance:

  • Ensure to uphold the company’s code of ethics and display the GAC Spirit in all dealings within and outside the office.

Collaboration/Teamwork:

  • Stand in for any operational/sales requirements in the event of requirement/absence of concerned staff for seamless delivery to the client and running of the department.

Job requirements

Below are the minimum technical knowledge and skills requirements for the Logistics Coordinator role at GAC in the Logistics:

  • Educational Qualification: Graduate, university degree preferably with a diploma in logistics/shipping/export.

  • Professional Qualification: UAE Driver’s License, preferably.

  • Specialist Knowledge: Customer-oriented and good telephone etiquette. Strong Knowledge of freight forwarding & local customs regulations.

  • Communication / Language: Good English communication skills.

  • Computer Aptitude: Proficient knowledge of computers especially in MS Office & Outlook.

  • Detailed Experience Levels: 2 - 4 years in a similar job in the freight or logistics industry.
