Customs Clearance Coordinator

The Role
This role is responsible for end-to-end customs clearance and permit applications across all modes of transport. The successful candidate will bring strong expertise in Malaysian customs regulations, government permit processes and operational coordination, ensuring timely, accurate and compliant clearance for all shipments.
Key responsibilities include:
Preparing and processing customs declarations and permit applications accurately and within 2–3 days of receiving complete documentation.
Liaising with government authorities (Customs, MITI, and other agencies) for permits such as COO, FTA, AP and related approvals.
Coordinating haulage and transportation requirements, ensuring vendors follow GAC instructions and schedules.
Ensuring timely delivery and collection of FCL and LCL cargo to avoid port storage, demurrage, detention or penalties.
Managing operational documentation and dispatching necessary documents to operational runners prior to job commencement.
Updating KPI job records daily for shipment tracking and monitoring.
Returning all supporting documents to the Customer Service team within 3 working days after clearance.
Proactively resolving operational issues and escalating to the line manager within 24 hours when required.
Maintaining close communication with Customer Service teams regarding customs queries or disputes.
Being contactable outside normal office hours when operational support is required.

Job requirements
What we’re looking for:
Qualifications & Experience
Diploma / Advanced Diploma / Higher Diploma / Degree in Logistics, Supply Chain, Business or related disciplines.
At least 3 years’ experience in customs clearance, permit applications or a similar operational role.
Hands-on knowledge of Malaysia Customs Declaration System (SMK) and other government online systems.
Experience liaising with Malaysian government authorities is highly preferred.
Skills & Attributes
Strong knowledge of Malaysian import/export regulations and customs procedures.
Excellent communication skills in English and Bahasa Malaysia (spoken and written).
Proficient in Microsoft Office, Outlook, and Teams.
Strong attention to detail, highly organized, and able to work under pressure.
Proactive problem-solving skills and ability to work independently.
High levels of professionalism, integrity, and resilience.
