Leads shipping operations, manages logistics partners, ensures timely delivery, and drives process improvements for efficiency, cost control, and team performance.

Job description

  1. Vessel Operations

  • Ensure timely, accurate and effective management of services & supplies to the vessels as required by vessels/owners.

  • Coordinate effectively with port operations staff to ensure a smooth delivery of services and handling of vessel operations.

  • Communicate with principals effectively, providing timely and accurate reports to assist in future voyage planning.

2. Documentation & Compliance

  • Review shipping documents, including bills of lading, manifests, and customs declarations.

  • Stay updated on international trade regulations / sanctions and ensure strict compliance and guide the operating team.

  • Coordinate with the Operations team to input port call data into GAC Ship and GAC Agent promptly and accurately, ensuring real-time updates

  • Serve as a role model in upholding GAC Code of ethics and GAC Sprit as it is in the best interest of the company and GAC Group

3. Invoicing/Collection

  • Overall supervision of PDA/ FDA preparation and submission to meet KPI standards.

  • Ensure timely invoicing and follow-up on due payments in accordance with agreed payment terms

  • Coordinate with internal finance and operations teams to reconcile accounts and resolve discrepancies

  • Escalate unresolved payment issues to relevant departments or management for further action

  • Ensure compliance with company policies and financial regulations in all collection activities.

4. Systems & Training

  • Serve as the primary contact for channelling feedback to IT, prioritizing feedback that adds business value and can increase revenue, while educating users on unsuitable requests.

  • Participate in testing new features.

  • Ensure smooth rollouts/releases and successful user adoption of new features.

  • Communicate risks and challenges in your area with your IT Managers and collaborate on implementing mitigations.

  • Ensure employees in your area are fully trained and proficient in using the application.

  • Increase the application's utilization in day-to-day operations.

  • Support the Digital Product Manager in creating modern, accessible training materials.

5. Customer relations & Emergency response

  • Act as a liaison between the shipping company and clients to address inquiries, provide updates, and resolve issues.

  • Ensure Immediate attendance and updating to concerned parties on matters related to Emergency situation.

  • Ensure a high level of customer satisfaction by delivering exceptional service and maintaining strong relationships with clients.

Physical Functions: Desk bound, attendance in Port & vessels as needed.

Environmental Demands: Office & Ports, external supply bases/ storage yards and authority offices.

Work Schedule Conditions: Flexible Working Hours and After office hours are expected due to the nature of jobs.

Equipment / Software Used: Office 365, GAC Agent and other 3rd party software’s using by Customers or Port / Custom authorities.

Job requirements

Main Location: Labuan

Educational Qualification: As a minimum education -Higher secondary school.

Professional Qualification: Certification in field of shipping from any competent authority and driving license useful

Specialist Knowledge: Good Work ethics to comply with policies and procedures of the company, should have cultural awareness for working with people from various cultures and backgrounds

Communication / Language: Good English communication skills – Both written and spoken

Computer Aptitude: Proficient knowledge of computers, especially in Office 365 - Excel & Outlook

Detailed Experience Levels: At least 2-3 years of experience in shipping operations / agency services
